Terms & Conditions
Welcome to Beyond Borders. These Terms & Conditions govern your use of our website and your participation in our tours, expeditions and related travel services.
By making an enquiry, booking a tour or participating in an expedition organised by Beyond Borders, you acknowledge that you have read and agreed to these Terms & Conditions.
1. About Our Expeditions
Beyond Borders organises guided motorcycle and SUV expeditions through destinations in Northeast India.
Our tours may involve mountain roads, remote locations, changing weather conditions, high-altitude environments and other conditions that are different from ordinary travel.
Specific tour details, inclusions, exclusions, itinerary, duration, pricing and travel requirements will be communicated on the relevant tour page or booking documentation.
2. Booking and Advance Payment
A booking is considered confirmed only after Beyond Borders receives the required advance payment and confirms the booking.
The advance amount may vary depending on the tour and will be communicated to you before confirmation.
Payment of an advance indicates your intention to participate in the selected expedition and allows Beyond Borders to begin making arrangements such as accommodation reservations, permit preparation and other trip-related arrangements.
The remaining balance, where applicable, must be paid according to the payment schedule communicated at the time of booking.
3. Cancellation by the Traveller
Travellers may request cancellation up to 7 days before the scheduled tour start date.
For eligible cancellations:
10% of the total package price will be retained as a cancellation charge.
The remaining amount from the advance payment already received will be refunded.
Example
If:
- Total package price = ₹50,000
- Advance paid = ₹20,000
- Cancellation charge = 10% of ₹50,000 = ₹5,000
The refundable amount will be:
₹20,000 − ₹5,000 = ₹15,000
The cancellation charge is therefore calculated from the total package price, not merely the advance amount paid.
Cancellation Within 7 Days
Cancellations made less than 7 days before the scheduled tour date are non-refundable, as arrangements such as accommodation, permits and other services may already have been committed.
For full details, please refer to our Cancellation Policy.
4. Changes to the Itinerary
Mountain travel can be affected by weather, road conditions, landslides, government restrictions, permits, local conditions and other circumstances beyond our control.
For safety or operational reasons, Beyond Borders may modify the route, accommodation, schedule, activities or itinerary when reasonably necessary.
Where possible, we will inform travellers of significant changes in advance.
5. Weather and Road Conditions
Our expeditions take place in mountainous and sometimes remote areas.
Travellers should understand that:
- Weather can change quickly.
- Roads may be rough, narrow or damaged.
- Certain routes may become inaccessible.
- Travel times may change because of road conditions.
- Delays may occur due to weather, landslides, traffic, local restrictions or other circumstances.
The safety of travellers and the group will take priority over following the published itinerary exactly.
6. Motorcycle Participation
Travellers participating as motorcycle riders must:
- Hold a valid driving licence appropriate for the motorcycle being used.
- Have the necessary riding experience for the selected expedition.
- Follow the instructions of the tour leader and support team.
- Wear required safety equipment.
- Ride responsibly and within their own ability.
Beyond Borders may restrict or discontinue a participant's riding activity if their conduct or ability creates a significant safety risk to themselves or others.
7. SUV and Pillion Options
Where offered, travellers may choose an SUV or pillion option according to the specific tour.
Availability, pricing, seating arrangements and eligibility may vary between expeditions and will be communicated before booking.
8. Health, Fitness and High-Altitude Travel
Some Beyond Borders expeditions involve high-altitude environments and physically demanding roads or activities.
Travellers are responsible for assessing whether they are physically and medically suitable for the selected expedition.
If you have any medical concerns, conditions or requirements that could affect your participation, you should consult an appropriate medical professional before travelling.
Basic first aid and emergency support may be available on selected expeditions, but this does not replace professional medical care or personal travel/medical insurance.
9. Travel Documents and Permits
Travellers are responsible for providing accurate information and carrying the documents required for their journey.
Where applicable, Beyond Borders may assist with Inner Line Permit (ILP) arrangements.
Permit approval remains subject to the relevant authorities and applicable rules. Beyond Borders cannot guarantee approval where the decision rests with a government or other external authority.
10. Personal Belongings
Travellers are responsible for their personal belongings, valuables, documents, electronic devices and other possessions during the expedition.
Beyond Borders will not be responsible for loss, theft or damage to personal belongings except where liability cannot legally be excluded.
11. Travel Insurance
We strongly recommend that travellers obtain appropriate travel and medical insurance before participating in an expedition.
Depending on the tour, insurance may cover areas such as medical emergencies, evacuation, personal accidents, trip interruption and loss of belongings.
12. Accommodation
Accommodation is arranged according to the package selected and the itinerary of the relevant expedition.
Accommodation may vary between destinations because some routes travel through remote areas where facilities are limited.
Room types, availability and occupancy arrangements will be communicated as part of the tour details.
13. Photography and Media
During expeditions, Beyond Borders or its authorised representatives may take photographs or videos for documentation and promotional purposes.
Where appropriate, we may use such content on our website, social media channels or other marketing materials.
If you do not wish to appear in promotional content, please inform our team before or during the expedition.
14. Participant Conduct
All travellers are expected to behave responsibly and respectfully towards:
- Other participants
- Tour leaders and support staff
- Local communities
- Accommodation providers
- Wildlife and natural environments
- Local laws and regulations
Beyond Borders reserves the right to remove a participant from an expedition if their behaviour creates a serious safety risk, causes significant disruption or violates applicable laws or these Terms & Conditions.
No refund will necessarily be provided in circumstances where removal is caused by the participant's own misconduct.
15. Third-Party Services
Certain services provided as part of an expedition may be supplied by third parties, including accommodation providers, transportation providers and other local service partners.
While Beyond Borders will make reasonable efforts to work with reliable providers, certain aspects of these services may be outside our direct control.
16. Force Majeure
Beyond Borders will not be responsible for delays, changes, cancellations or interruptions caused by circumstances beyond our reasonable control, including but not limited to:
- Severe weather
- Landslides
- Floods
- Natural disasters
- Road closures
- Government restrictions
- Political unrest
- Strikes
- Accidents
- Health emergencies
- Permit restrictions
- Other unforeseen circumstances
Where reasonably possible, we will work with travellers to determine an appropriate alternative.
